Terms
What you agree to when you run your salon on SalonWard, in the same plain language we use everywhere else.
Last updated 2 October 2026
SalonWard is a platform for running a salon or barbershop: calendar, online booking, point of sale, inventory, marketing and reports. These terms are the plain-language agreement between SalonWard and the business that opens an account.
SalonWard is sold to businesses: salons, barbershops and the people who run them as a trade or profession. By creating an account you confirm that you act for your business, not as a consumer. The rules that protect consumers who buy at a distance, such as the 14-day right of withdrawal, therefore do not apply to your SalonWard subscription.
Keep your sign-in credentials to yourself, add two-factor authentication in Settings if you want the extra lock, and make sure the people you invite only get the roles they need. What happens under your account is your responsibility; keeping the platform secure is ours.
Every salon starts with a 14-day free trial, no card required. The trial includes every plan feature and add-on except text messages, which are only available on a paid plan.
When the trial ends without a plan, the account locks. Your data stays in place, the app and your public pages pause, and only the billing page stays open until you choose a plan. Nothing is charged unless you do.
Prices are on the pricing page and exclude VAT. VAT is added on the invoice, or reverse charged where the law says so for a business elsewhere in the EU. You pay in advance per month or per year, as you chose, and the subscription renews automatically for the same period until you cancel. Payments run through Stripe, and invoices are e-mailed to you and kept on the billing page.
We announce a price change by e-mail at least 30 days before it applies. It takes effect from your next billing period, and if you do not agree you can cancel before then.
If a payment fails, Stripe tries again and the billing page tells you what happened. If it is still unpaid seven days after the first failed attempt, the account locks until the amount is paid. Your data is kept in the meantime, and access returns as soon as the payment arrives.
You can cancel at any time on the billing page. The subscription then stops renewing and you keep access until the end of the period you already paid for. Fees for a period that has started are not refunded, not even in part. There are no exit fees and no retention hoops.
Text messages are an add-on for paid plans and are never part of a trial. A bundle is paid in advance and adds its number of texts to your balance for every period you pay for.
Unused texts carry over for as long as the account is active. A long message uses one text per segment, which is about 160 characters and fewer when the message contains special characters or emoji. Texts are not refunded, also not when you change or stop the bundle, and any balance lapses when the account is closed.
The product sends only the texts your salon switches on (confirmations, reminders, changes and cancellations of clients' own appointments, waitlist offers and membership notices) and the messages your team writes to a client in Conversations. Texts carry a stop link, and the product honours STOP replies. It caps how many texts go out per salon and per phone number to prevent abuse, which can hold a message back. You are responsible for texting only clients who gave you their number for it, and for what your team writes.
Your client book, appointments, invoices and settings belong to your business, not to us. You can export client records from the product at any time, and our privacy page describes exactly how data is handled while it's in our care.
Bookings, gift cards, memberships and products you sell through SalonWard are sold by your salon, not by SalonWard. You are the seller towards your clients, and your own terms and consumer law apply between you and them. Keep your business name, address, KVK number and VAT number correct in Settings, because the online shop shows them to buyers together with the withdrawal information the law requires.
Use SalonWard for running your business, not for spam, unlawful content, or attempts to break or probe the platform's security. Marketing tools must only message people who have consented. The product enforces unsubscribe links and consent records to help you stay on the right side of that.
We work to keep SalonWard fast and available, and we ship improvements continuously. Sometimes that changes how a feature looks or works. We can't promise perfection or uninterrupted service, but we can promise that fixing problems is always the first priority.
To the extent the law allows, SalonWard's liability for issues arising from the service is limited to the subscription fees you paid in the twelve months before the issue, and does not cover indirect loss such as lost revenue or missed bookings. Nothing here limits liability that cannot lawfully be limited, such as for intent or gross negligence.
The account owner can close the account at any time in Settings, or on the Billing page while access is paused. Download an export of your data first. Closing ends the subscription straight away, fees already paid are not refunded, and any text message balance lapses.
At closure the salon receives an export of its data, including its invoices, invoice lines and payments, so it can keep its own fiscal records for as long as the law requires. Thirty days after closure, SalonWard deletes all of the salon's data, and the rotating backups follow within fourteen days.
We may suspend or close an account that seriously breaks these terms, with notice and a chance to put things right wherever that is reasonable.
For the personal data your salon keeps in SalonWard, such as clients, appointments and staff records, your salon is the controller and SalonWard processes on your instructions. The processing agreement is part of these terms for every salon account. You accept it together with these terms when you create your account, and a countersigned copy is available on request.
These terms, and every agreement on the platform between SalonWard and a salon, are governed by Dutch law. Disputes that talking cannot resolve belong to the competent Dutch court.

When these terms change, the date above moves and we e-mail account owners about substantial changes at least 30 days before they take effect. If you do not agree, you can cancel before then.
